Why Quality Matters in Law Searching

In conveyancing, the value of a law search depends not simply on the information found, but on the quality of the process used to find and interpret it.

A search provider must do more than retrieve information. They must understand how records are indexed, how databases behave, and the conventions, limitations and nuances of the underlying data sources. Without that expertise, relevant records can be missed and misleading results produced.

A simple example from the Registry of Deeds (ROD) demonstrates why experience and expertise matter.

Example: Exact Match Errors

A client required a search for a Grantor named Peter O’Reilly relating to 7 Scarlet Row. An initial search of Peter O’Reilly in Dublin returned more than 50 records.

The screenshots below are from the Registry of Deeds (ROD) website.

Incorrect Results

A logical next step was to apply the property filter “7 Scarlet Row”. However, the Registry of Deeds operates on an exact-match basis. Because the property had been recorded using quotation marks in the underlying data, the filter returned no results.

Correct Results

An experienced law searcher recognises the limitations of exact-match filters and applies broader search criteria combined with established search methodologies. Using this approach, the relevant record was identified, irrelevant results were excluded, and the search was completed accurately.

Why Expertise Matters

Registry of Deeds searches are not simply exercises in data retrieval. Variations in property descriptions, historical place names, spelling differences and inconsistencies in record entry can all affect results.

For example:

  • Main Street may also appear as High Street
  • Castleknock Avenue was formerly known as Laurel Lodge
  • Navan is also known as An Uaimh
  • Birr was formerly known as Parsonstown

Without an understanding of these nuances, relevant records can easily be missed.
